The policies below are summarized for quick reference. Our complete Office Policies document is located in your Client Portal and can be viewed at any time.

Inclement Weather Policy

In the event of inclement weather in the Lampeter-Strasburg School District in which CYM is located, changes may be made to the regular office hours and scheduled appointments. CYM will make every attempt to give adequate notice for office closures or appointment cancellations. It is the responsibility of the client to check their email for notices or changes prior to leaving for their appointment. CYM will NOT be posting closures on local TV or radio stations. Closures include full-day closures, early closures and delayed opening.

If the office remains open as scheduled but the CLIENT chooses to cancel their scheduled session because of inclement weather, a MINIMUM of 2 hours’ notice VIA EMAIL is REQUIRED or a cancellation fee may be charged.

Telehealth may be offered in the event of inclement weather but it is client’s responsibility to be aware of their telehealth benefits if they are using insurance.

Late/No Show Policy

Should you need to change or cancel a scheduled appointment, a 24-hour notice is appreciated. There may be a fee assessed at the discretion of the therapist for failure to show for an appointment or a cancellation of less than 24 hours. The current fee schedule can be found in the Consent For Treatment form in the Client Portal.

We are aware that from time to time unforeseen events or emergencies do occur. If you are running late for your appointment, a courtesy call or e-mail is appreciated. The clinician is expected to wait only 15 min past the appointment time if there has been no communication. This applies to both parties for telehealth appointments.

The client portal (“appointmentreminders@therapypotal.com”) will automatically send appointment reminders to your email address on file. That is the only appointment reminder you will receive.

If you need to reschedule or cancel and appointment, please email your clinician directly.
